Calendar Sharing

One question we hear over and over is "How can we find a calendar the we can share to make the best use of our time as a staff?"

iCal on an OS X server is the perfect solution for most of your calendar issues. You can share as few or as many calendars as you want. You can look at just your calendar or the calendars of all of your team mates.

GETTING STARTED

The process for setting up your OS X server to handle iCal is complicated but fairly quick. You can use the share folder on the PDTC webserver until the new servers arrive and after you server is set up and ready to go either Steve Reagan or Micki Daniel can set up the necessary permissions for your iCal Share folder.



CREATING YOUR FIRST CALENDAR
   

These instructions are for setting up a Calendar in schools where there is an OS 10.3 or above server that already has the iCal Calendar Setup completed OR  those who are sharing a file on our server.

To Begin:

  1. Open iCal
  2. Choose File > New Calendar OR push the + symbol on lower left OR double click in the white space below the list of calendars.
  3. Give the calendar a unique name.
  4. Add event to the calendar that you will share. Only include events that you wish to share with others. You can create other calendars for personal or non-shared events.



 
 

PUBLISH YOUR CALENDAR TO THE SERVER
 

From iCal on a client computer

  1. From the menu, Choose Calendar > Publish Calendar.
  2. Select "Publish on a private web server".
  3. Correct the name of your calendar if necessary.
  4. Enter the URL for the site configured on the server (such as "http://196.196.0.1/AnySchoolCal/"). *

Parts of the URL for Private Server

    • http:// (always start with this)
    • IP number of your web server *
    • /(folder for Calendar sharing)/

     

Usernames and Passwords

  1. Enter the name and password for a calendar user that was enabled on the server. *
  2. Set Calendar to auto update
  3. You may choose to share alarms, to dos and/or notes on the events. The subscriber must also choose to download these in order for these special features to be transferred.
  4. Click Publish.

*(The web server must be set up for serving a Calendar. Contact your BLTC or PDTC Training Staff for more information)



 
 

SUBSCRIBING TO PUBLISHED CALENDARS
 

from iCal on a Client Computer

 

From the menu, Choose Calendar > Subscribe.

In the following box type:

Subscribe to:

Type in the address of the calendar that you wish to subscibe to using the prefix webcal:// in place of http://. See the following sample for the parts of the address. Use slashes between each section, ending in the name of the calendar followed by .ics

Sample Address:

webcal://(IP number of server)/(folder for Calendar sharing)/(name of calendar).ics  

Example: webcal://196.196.0.1/AnySchoolCal/testcaledar.ics

Subscribed calendar should appear in your iCal.

Importing KCS Calendar Events

KCS Calendars

Knox County Schools has a great calendar program available to all schools. For information on your school's calendar links, talk to your BLTC first and then you can contact Dave Armstrong in the Public Relations Department. Dave can tell you who at your school can help you add events to the calendar.

You can export a complete calendar or just an event to use with your iCal. Single events can be exported by clicking on the event within the calendar and then clicking on the export event calendar. The event downloads as an .vcs event that will import directly into your iCal program.

To get a whole calendar for your iCal is a little trickier. These are the steps that will work:

1. Export the calendar you would like to use. It will download as a .csv (comma separated value)

2. Open in Excel.

3. Save as a text file (tab delimited file) .txt

4. Import into Palm Desktop.

5. Export as vCal file.

6. Import into iCal.

OR

Send the downloaded .csv file to Micki and ask for a vCal file.
